We are a busy accounting firm in Stansted with 5 team members. We are looking for an Administrative/Accounts assistant to join our team. As one of the first points of contact for our clients and colleagues you will be well presented, pleasant, welcoming and reassuring. 

Using your admin skills you will provide support to the Accountants and Bookkeepers and ensure that your tasks are completed In a timely and efficient manner. You will support the Office Manager by providing receptionist duties such as answering telephones, emails, greeting clients who regularly attend our office, and processing postal correspondence. 

You will also support the remainder of the team to achieve their objectives.

Duties and responsibilities

  • Answering email and telephone queries and following up on responses with the accountants
  • Booking client meetings with the account managers
  • Welcoming clients for meetings and offering tea/coffee/water
  • Collecting and processing incoming and outgoing mail
  • Electronic lodgement of documents and information and maintaining existing records
  • Scanning and filing
  • Onboarding new clients, sending out engagement documents
  • Data Entry on Excel and various Accounting softwares
  • Maintaining office appearance – watering the plants, washing up, maintaining a tidy appearance, no cleaning as we have a cleaner.
  • Grocery and stationery orders.
  • Other tasks as required to assist the Office Manager, Bookkeepers, Accountants and clients.

Ideal candidate:

Must have:

  • Strong organisational skills with proven administrative experience
  • Excellent time management and the ability to prioritise and multitask
  • Experience in customer service – both in person and on the phone
  • Knowledge of Microsoft packages including word, excel, outlook or the equivalent in Google
  • Friendly and welcoming manner and professional presentation

  • Engaging personality that will see you attending to client queries rather than deferring them to others in the company.

Ideally this role is for a full time position but individual circumstances will be considered for the right candidate, the rate of pay is £13 ph, plus benefits including company pension, increasing holiday allowance for long service and the potential for career progression within an accounting function. We have free parking at the office for all team members.
